How to move result computation online without losing a term

The SchoolEasy team · · 6 min read

Draft. This post is waiting for review. Search engines don’t index it, and it isn’t in the feed until it’s published.

Ask any vice principal what the last two weeks of term feel like, and you’ll hear about result computation: teachers submitting scores late, spreadsheets with broken formulas, positions worked out twice because two people used different averages, and report cards typed one by one. Moving it online fixes most of that, but only if the change is planned. Here is a plan that works inside a normal school term.

Agree the rules before you touch any software

Software only computes what you tell it to. Before you set anything up, write down the rules your school already uses, and settle the ones people disagree about.

  • Your assessment components and their maximum scores, such as CA 1 out of 20, CA 2 out of 20, and the exam out of 60.
  • Your grading bands for each section. Most secondary schools use the WAEC scale from A1 to F9, while many primary schools use A to F.
  • How you rank students: by average across the subjects each student takes, or by total.
  • What goes on the report card besides scores, such as attendance, affective and psychomotor ratings, and remarks.

Getting these agreed by the principal and heads of department in one meeting saves weeks of arguments later.

Start with one term, not the whole history

Don’t try to load five years of old results on day one. Set up the current session and term, your classes and arms, your subjects, and your students, then run one full term online from score entry to report card. Old results can stay in their spreadsheets until the new process is settled.

Give every teacher their own score sheet

The biggest saving comes from teachers entering their own scores once, for their own subjects. When the form teacher no longer collects twelve separate sheets and copies them into one, most transcription errors disappear. Set a firm deadline for score entry, a week before results are due, and check progress by class.

Let the system do the arithmetic, then check it

Once scores are in, the software grades each subject, totals and averages each student, and ranks the class. For the first term, check a sample by hand: pick three students in each class, including the top and bottom, and confirm their averages and positions. When the sample matches, you can trust the rest.

Publish to parents, and print only what you need

Keep results in draft until the principal has reviewed them, then publish. Parents get a notification and open the report card on their phones, so you print only for families who ask for paper, which cuts printing costs.

Train before the rush, not during it

Run a short training session for teachers in the middle of term, when they have time to practise with a test class. A teacher who has entered scores once in week six won’t panic in week twelve.
